The documentation isn’t very clear about what counts as a step. I see that there’s a maximum limit of 8 steps for the bots we’re creating. I’m wondering if I provide it with more than 8 sources, will it use them all, or will it only use 8 at most, since checking one source might be considered a single step?

The 8-step limit refers to actions an assistant can take, not data sources. Each step can utilize multiple data sources simultaneously. So, providing more than 8 sources is fine; the assistant can potentially use them all within its 8-step limit.

Could you please let me know if it’s better to segment each notion page in a source explaining in the description what the notion page is about (making 30+ sources) or to gather many notion page under the same source even if they are not totally related, for the bot to give the best answers
As a rule of thumb, we recommend to add as many data sources as needed (the fewer the better), and then work on the instructions. By providing hints in the instructions, you should get better results - for example: ‘when you’re asked this type of question, search the content of this Notion page’.
